Frequently Asked Questions

Find answers to common questions about our services, processes, and how we work with clients.

Bookkeeping

How often should my books be updated?
We recommend monthly updates at minimum for most businesses. High-transaction businesses may benefit from weekly or bi-weekly updates. We tailor the schedule to your needs.
What accounting software do you support?
We work with QuickBooks Online, Xero, FreshBooks, Wave, and others. We can also help you select and migrate to the best platform for your business.
Can you catch up books that are several months behind?
Yes. Our catch-up bookkeeping service is designed specifically for businesses that have fallen behind. We'll bring your records current quickly and accurately.

Tax Preparation

When should I start preparing my tax return?
Ideally, as soon as you have all tax documents — typically January through March. Early preparation gives time to address issues and plan payments.
What documents do I need for tax preparation?
Typical items include W-2s, 1099s, business income/expense records, prior-year returns, and any IRS or state notices. We provide a complete checklist.
Can you file an extension for me?
Yes. If needed, we can prepare and file an extension to avoid late-filing penalties while ensuring your return is completed accurately.

Tax Planning

What's the difference between tax preparation and tax planning?
Tax preparation is reactive — filing returns for what already happened. Tax planning is proactive — structuring your affairs to minimize future tax liability.
When is the best time for tax planning?
Year-round, but the most impactful planning typically occurs in the fall before the tax year ends, when there's still time to implement strategies.
Can you help me choose the right business entity?
Yes. Entity selection is a core tax planning service. We analyze tax, liability, and operational factors to recommend the optimal structure.

Payroll

Do you handle payroll tax deposits and filings?
Yes. Our payroll support includes processing payroll, calculating and depositing taxes, and filing all required federal and state returns.
What if I have employees in multiple states?
We handle multi-state payroll compliance, including state tax registrations, withholding, and unemployment insurance requirements.
How do you handle year-end W-2s and 1099s?
We prepare, distribute, and file all required W-2s and 1099s by the January 31 deadline, ensuring accuracy and compliance.

Business Accounting

Do you work with businesses of all sizes?
We primarily serve small and midsize businesses, startups, and independent professionals. We scale our services to match your needs.
Can you help if I already have a bookkeeper?
Absolutely. Many clients maintain their own bookkeeping and use us for higher-level accounting, tax, and advisory services.
How do you charge for your services?
We offer both fixed-fee arrangements and hourly billing depending on the service and your preference. We provide transparent quotes upfront.

Pricing & Engagement

Do you offer a free consultation?
Yes. We offer a complimentary initial consultation to discuss your needs and determine how we can help.
Is there a long-term contract?
Most engagements operate on a month-to-month basis. For larger projects, we may agree on a defined scope and timeline.
How do I get a quote for services?
Contact us through our website or by phone. We'll schedule a brief call to understand your needs and provide a tailored proposal.

Document Security

How do you protect my financial information?
We use secure, encrypted platforms for document sharing and storage. Access is restricted to authorized team members only.
Do you share my information with third parties?
No. We do not sell or share client information. We only disclose information as necessary to perform services or comply with legal obligations.
How long do you retain my records?
We retain records in accordance with professional standards and applicable laws, typically for a minimum of seven years.

Remote Services

Do I need to visit your office?
No. Most of our services can be delivered remotely through secure online platforms, phone, and video conferencing.
How do we exchange documents securely?
We use encrypted client portals and secure file-sharing services. Email is not used for sensitive documents.
What technology do I need to work with you remotely?
A computer or mobile device with internet access is sufficient. We guide you through any necessary setup.

Consultation Process

What happens during the initial consultation?
We discuss your business, current challenges, goals, and how our services might help. There's no obligation, and we provide honest guidance even if we're not the right fit.
How do I prepare for our first meeting?
Just come ready to discuss your business and any specific concerns. If you have recent financial statements or tax returns, they can be helpful but aren't required.
How quickly can you start working with me?
Typically within one to two weeks of engagement. For urgent needs, we may be able to accommodate faster timelines.
